Notification of Public Folder Changes

A frequent question this week came from users who wanted to know how to be notified as new messages or appointments are posted to public folders.

You can receive a copy of new items when they are posted to a public folder. Right click on the folder and choose Properties, Administration tab, Folder assistant button. Set up a rule to forward posts to yourself or others. You will need the correct permissions to see this tab - if you can't see it, ask the administrator or folder owner to set it up. When an appointment is forwarded, you can move your copy to your calendar or create a rule to move it from the Inbox to your calendar on arrival.

If you don't have the right permissions and the administrator won't set up a folder assistant rule, there are utilities that can sync the folders- see http://www.slipstick.com/outlook/sync.asp and http://www.slipstick.com/outlook/sync-mail.asp for utilities you can use.

Outlook 2007: Hide Columns in the GAL

If your users complain about all the fields visible in the GAL, you'll want to check out the KB article Microsoft recently released. It explains how to edit the registry to hide some of the columns. The prerequisite is the April 30, 2009 hotfix described in KB article 968858.

Even if the users aren't complaining, it's worth checking out - I really like seeing fewer fields in the GAL, especially since half the fields I hid contained no data.

Note that this does not affect the address book view used for Outlook's Contacts; it applies only to address lists contained in the GAL.

Outlook 2007 SP2 Contact Printing Bug

If you try to print a selection of Contacts in any of the Card views, Outlook cashes. It works fine in table views or if you print all contacts in the folder, only a selection in any of the card views fails.

Until a fix is released, either print using a table view or copy the selection to a new folder and choose the option to print all items.

This operation has been cancelled due to restrictions…

We're seeing a lot of reports from users that hyperlinks in email are not working. The error users receive states “This operation has been cancelled due to restrictions in effect on this computer" and instructs the user to speak to their administrator.

This is not an Outlook error – it’s caused by settings in Internet Explorer and is a common problem with the upgrade to IE8. Fix it by resetting IE’s Internet settings in IE’s Tools, Internet Options (or Control panel, Internet Options). Go to the Advanced tab and click Reset.

If you are using Firefox or another browser as your default you will need to set IE as the default browser. Once you verify links are working in Outlook, make your preferred browser default.

Outlook Recovery
