Saving Sent Items in a Shared Mailbox

Here's proof Microsoft listens to us: Several weeks ago a reader asked if it’s possible to save sent items in the shared mailbox's sent folder. At the time the only way to do this was by using a 3rd party utility. Microsoft saw the article and fixed it: it is now possible to save Sent items in the shared mailbox if you use Outlook 2007.

Ok, so I'm just kidding about Microsoft fixing it just because I wrote an article about it. It's a long time request that's been in the works for more than a few weeks and should be a popular fix.

In order to save sent items in the shared mailbox's Sent folder, you'll need to install the hotfix in KB 970944 and set a registry key.

Shared Vacation Calendar

An administrator recently asked this question: "Without setting up a resource or user account, is there a way, other than a public folders calendar, for a Calendar to be shared? A department wants to create a vacation calendar but they don't want to dig into public folders to retrieve it. I don't want to create a user account just to have the calendar as a shared item and because it's not a resource, I don't want to create it as one either."

Let me see… you don't want to create a mailbox or a resource and they don’t want to dig for public folders. There is a low tech invention called a wall calendar... All joking aside, SharePoint works great for things like this and that's what I would use.

If SharePoint is not an option, use a public folder calendar and send the users a text link to it. They can put a link to the folder on the Shortcut navigation pane, add it to their public folder favorites (which will add it to the Calendar navigation pane) or create hyperlinked button, eliminating the need to dig for it.

To easily get the path, create the folder and locate it in the public folder tree then show the Web toolbar. Copy the path from the Address bar and paste it into a message. Use the hyperlink button or press Ctrl+K to create a clickable link.

The users now have a shared calendar that is easy to access and you didn't need to create a mailbox for it.

Outlook 2007 “Reply with Template” Bug

Outlook 2007 SP2 introduces a bug into the 'reply with template' rule.

"In anticipation of leaving town, I recently set an automatic reply on my e-mail. However, it does not appear to be working. I receive a "Rules in error" message with each incoming message what am I doing wrong?"

It's definitely not anything you are doing wrong. This bug apparently affects only POP3 and IMAP accounts and Microsoft is aware of the issue. At this time we don't know of a fix or a workaround, other than to find out if your mail provider offers an autoreply feature in their web interface.

Speaking of autoreplies, let me remind everyone that autoreplies are sent once to each address during each Outlook session. You'll need to close and reopen Outlook to reset the rule. The rule only works when Outlook is open so Sent Items in a Shared Mailbox you should Out-of-Office Assistant with Exchange server accounts or see if your email provider offers autoreponders on your mailbox.

 

Outlook 2007 SP2 and Task Reminders/Due in Time

While we're on the subject of bugs, I'll mention there is a change in behavior in how the Reminder dialog displays the Due in time for Tasks. In the past, if the reminder was for 3 pm, at 3 PM it would be in the Reminder dialog's Due in column as Now and 1 hour overdue at 4 PM. Now it is listed as Due in 2 hours, as it uses the end of the workday setting to calculate the due time, not the time the reminder fires.

I'm not sure of the logic in this change but Microsoft is aware that users don't like it. I will confess I never noticed it until someone mentioned it. I tend just to look at the task in the To-Do bar and the subject in the Reminders window, ignoring the due in field for everything but appointments, as there are a lot of overdue items.

Where did "Copy: Appointment_subject" come from?

If anyone had doubts that “no one” reads the release notes before installing updates, Outlook 2007 SP2 proves many people don’t read them. We're seeing a lot of questions about two new features: the gray tray icon when Outlook is shutting down and Copy: added to appointments copied from shared calendars.

The gray icon was added so it’s easier to see when Outlook.exe is still loaded, eliminating the need to check in Task Manager, Processes tab while Copy: was added so users know if a meeting was copied from another calendar and therefore, won't be updated. And no, it's not possible to disable the Copy: prefix.
